About the Organization
The organization is a certified food distributor serving major retail chains across Central and Eastern Europe. With more than 300 employees across six countries, its lean IT team is responsible for securing credentials across a remote workforce and multiple partner systems.
The challenge
Managing credentials across multiple countries and partner integrations had become difficult for the organization's lean IT team. Before Keeper, passwords were stored in Excel files on shared drives with no access controls, audit trail or consistent oversight.
Informal sharing created additional risks. Employees had no secure way to access credentials when colleagues were unavailable, and more than 200 credentials were not centrally managed. Service accounts from testing phases also retained weak passwords.
The organization needed a simple, secure platform to centralize credentials, improve password hygiene and provide visibility into weak or exposed passwords.
The Keeper solution
The organization selected Keeper for its ease of use, cloud-native architecture and security certifications. Starting with a small number of IT licenses, the deployment expanded gradually across the business without requiring a formal implementation project.
Keeper replaced Excel files and informal sharing with encrypted vaults and shared folders using role-based access. The IT team gained centralized control of service accounts, partner credentials and shared system passwords.

Keeper's One-Time Share feature enables credentials and sensitive files to be shared securely with external engineers and vendors without permanently exposing passwords. Certificates and configuration documents can also be stored alongside credentials in the vault.
BreachWatch® identified weak service account passwords left over from testing phases. Weak or exposed credentials are now automatically flagged, helping the organization reduce risk before it becomes a security incident.
Keeper replaced an informal credential management process with a structured and auditable system. The IT team now has a centralized view of credentials across the organization, while employees can securely create, store and share passwords.
